Summary of Position:

Under the supervision of the Senior Director, Operations the Office Assistant will provide reception and front desk support for the office and administrative support for HR, IT, and Maintenance & Operations departments.

This position is located in Washington D.C. and Meridian requires MD, DC, or VA residence for all employees. The position is predominantly on-site but may occasionally work from home.

Position Responsibilities:

  • Greet guests entering the building, answer questions, provide directions, and notify staff when their visitor has arrived
  • Accept and distribute mail
  • Manage HR, IT, and M&O vendor invoices, expense claims, ACH, and credit card payments and reconciliations
  • Coordinate FedEx, UPS, and courier pickups and deliveries and associated billing
  • Assist with other administrative duties to include Intranet updates, Amazon orders, updating employee directory/org chart, and tracking organizational staff events
  • Responsible for completing all organizational administrative responsibilities in a timely manner and meeting all organizational administrative deadlines
  • Other duties as assigned

Education/Experience

  • Associate’s degree preferred
  • Three years of relevant work experience
  • Or any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential functions of the position

Knowledge, Skills, Abilities:

  • Ability to maintain routine financial records and to prepare routine financial reports, check requests, etc.
  • Strong written and verbal communication skills
  • Experience maintaining internal processes and filing systems
  • Must be able to handle sensitive data and HR confidential information securely
  • Able to prioritize and multitask effectively
  • Strong inter-cultural communication skills; maturity, cultural sensitivity, and tact suitable for working with individuals from around the world

Technical Requirements:

  • Proficiency in Microsoft Office, including Word, Excel and PowerPoint, Outlook and Teams is necessary for this role
  • Experience with Canvas, Zoom and Salesforce is helpful
