Position Title: HR/Administrative Assistant
Location: Washington, DC
Reports To: Senior Manager, Human Resources

Purpose and Description

Under the supervision of the Senior Manager, Human Resources, the HR/Administrative Assistant will organize and coordinate day-to-day functions of the Human Resources (HR) department and other areas of the organization as needed, to include Finance, External Affairs, and Maintenance & Operations. The HR/Administrative Assistant must present as an experienced, polished professional and provide excellent customer service, demonstrate initiative and responsibility with a can-do attitude, and complete projects in a timely manner with positive results. The Administrative Assistant will also meet and greet visitors, as well as screen some phone calls, as appropriate and needed.

Essential Functions

  • Handle administrative details related to Human Resources and other organizational departments including, but not limited to: scheduling appointments, orientations, trainings, conference calls; coordinating meeting logistics; preparing meeting materials; updating master documents as needed
  • Conduct orientations of new hires, fellows, and interns as needed
  • Process and verify invoices, prepare check requests, reconcile monthly receipts as needed
  • Assist in creation and assembly of complex PowerPoint and other presentations
  • Maintain HRIS data entry and assist with data preparation for regulatory reporting and audits
  • Organize and maintain HR personnel files, prepare new hire and exit packets, maintain updates to Employee Handbook and organizational chart(s)
  • Track and administer company benefits, as required, specifically transit and parking benefits
  • Administer timesheets and assist with bi-weekly payroll preparation as required
  • Assist other departments with administrative needs as requested
  • Serve as a lead for, and manager of, small administrative projects
  • Other duties and special projects as assigned

Minimum Qualifications

Experience/Education

Bachelor’s degree in Human Resources, Business Administration or related fields; 2-3 years of related experience in a non-profit, association, or government agency preferred; any equivalent combination of training, education, and/or experience that demonstrates the ability to outstandingly perform the essential functions of the position.

  • Demonstrated sound judgment, sensitivity, and discretion in handling confidential information
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) as well as Adobe Acrobat and other administrative technology
  • Physical Effort and Dexterity
  • May occasionally need to lift and move boxes or other items up to 20 pounds.

Visual Acuity, Hearing, and Speaking

  • Excellent verbal and written command of the English language

This position is required to work 8:45 am to 5:30 pm Monday-Friday
This position is classified FLSA non-exempt.
