 Summary of Position:

The Associate, Diplomatic Engagement serves in a supportive role for the Diplomatic Engagement team, overseeing day-to-day elements, administrative, and financial components of the organization’s engagement with the diplomatic corps.  The Associate is responsible for assisting with conception, development and implementation aspects of Meridian convening, as well as coordinating and maintaining Meridian’s relationships with the diplomatic corps in Washington through outreach, engagement and event execution. The Associate is involved in the following signature programs and convening series among others: Insights, Diplocraft, Meridian Global Leadership Summit, and Meridian Diplomacy Forum. This position is located in Washington, DC.

This position is located in Washington D.C. and Meridian requires MD, DC, or VA residence for all employees. The position may work partially remotely until further notice. Effective January 4, 2022, all Meridian staff are required to be fully vaccinated for COVID-19, unless a reasonable medical or religious accommodation is approved.

 Position Responsibilities:

Program Management

  • Execute two new ambassador welcome receptions each year including event production, logistical coordination, advance research, and diplomatic outreach.
  • Manage audience/attendee outreach and engagement for all convening programs – identify appropriate guests, create and disseminate invitations, track RSVPs, issue reminders and thank you letters.
  • Oversee technical aspects of hybrid and virtual events – includes setup and production of Zoom webinars, Zoom meeting, video cameras, audio/sound board, and other platforms and tools as needed.
  • Support day-of program implementation for in-person, virtual and hybrid events – includes preparation of materials, attendee registration, notetaking and stakeholder management.
  • Compose short reports summarizing key points and main takeaways from convening programs for website and/or thought leadership purposes.
  • In coordination with Vice President and Director, suggest program ideas, prepare speakers, liaise with program partners, and coordinate with Meridian logistics team in advance of program.
  • Arrange travel, accommodations, and other logistical concerns for program speakers and participants.
  • Arrange logistics for off-site programming – including venue, vendor, and client (when applicable) coordination.

Embassy Relationship Management

  • Serve as repository, coordinating and tracking Meridian’s correspondence with the foreign diplomatic corps using Salesforce database.
  • Monitor new foreign ambassador credentialing ceremonies, coordinate with Executive Office to set up and provide briefings for meetings

Administration and Finance

  • Administer financial components – track budget, pay bills, process checks, reconcile credit card statements, prepare receipts, and acknowledgements.
  • Manage procurement process
  • Prepare contracts for execution from review to agreement signing using VendorRisk software
  • Responsible for completing all organizational administrative responsibilities in a timely manner and meeting all organizational administrative deadlines.
  • Other duties as assigned.

Education/Experience

  • Undergraduate degree in related field.
  • Or any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential functions of the position
